Club Budget Information
Club Budgets
AUSU will need each club to submit a budget for anticipated club expenses for the coming year. Make sure to discuss this matter with all the executive members of your club. It is your choice as to whether or not you wish to discuss the matter with all club members.
Please check for changes in this, and other related documents, periodically.
If, throughout the coming year, you feel your club needs funding for something not included in the submitted budget, you are free to submit a proposal for further funding. In such a case you must submit all prospective costs for the request. Council will deliberate the matter and decide if further funding is warranted, and if they decide it is, the matter will then be passed on for further consideration.
You should not include the following items in your budget:
Promotional Material: It is not expected that any club should need to spend money to promote themselves, as the AUSU and The Voice provide advertising free of charge.
* Website Costs: Website design, space, and maintenance is provided for each club by the AUSU. There is no need to include web costs with your budget unless you anticipate the purchase of something the AUSU web design team cannot provide. If this arises, the allowability of the addition is at the discretion of the AUSU web design team and Council. AUSU will not allow a club to use their budget to purchase web design from another source. You may either create the site yourselves, or make use of the AUSU provided service.
Include each budgeted item on a separate line, and, columnised, list the expected costs next to them.
If your club intends to embark on fundraising activities to generate income for your club, you must clear the activity through Council first.
If your club generates funding from sources other than AUSU, you must supply Council with a full accounting of all money made.
If you are considering purchasing any sort of thank-you gifts for your club members, please take the matter up with Council before embarking on such a venture. You should spend your money wisely, considering this is a) coming from student pockets, and b) voluntary for most club members who are joining the clubs because they want to be there, not because they are expecting some kind of payment for it. When considering the giving of gifts you should consider the contributions the recipients have made to the club. Gifts shouldn't be given out "just because". However, address the matter to Council for discussion should the need arise within the club.
If you anticipate your club requiring more email aliases than the one provided for you when you set up your club, please include that in your budget. They are not free, so they must be taken into consideration. If, throughout the year, a need arises for an additional email alias, you may submit your request to Council.
Please keep copies of all documentation relating to your club budget. AUSU will require an accounting of what money each club has spent and generated during the year.
Please bear in mind that submitting a budget does not equal an automatic "yes" to everything you request. Some things may be refused. If there are any problems with any submitted budget or funding request, Council will work with you to find an equitable solution.
